On this page we will go over the most relevant features of Herzum Approval for Jira on Premises.


As a Jira User, you can...

#U1 - Review Approval Status and Take the Decision, all in one panel

The Approvals Panel in the Issue View allows users to review, at a high level, the percentage of Approbations, Rejection and Pending Requests; at a lower level, detailed information on the approvals including status, users, notification date, response date.

In addition the Sys Administrator can customize the panel by adding or removing actions, hiding or showing items and enable translations based on user language preference.

Furthermore, the Approver can provide the approval response with just one click on the buttons displayed in the same panel.

#U2 - Review Approval History

The Approvals History tab in the Issue View allows users to review all relevant approval process information, relating the specific issue, including approval replies, notifications and automatic issue transition on Approbation and on Rejection.

The Approval History data for multiple issues can be displayed on the Approval History Gadget by adding it to a Jira Dashboard.

In addition, the Sys Administrator can customize both the Approvals History tab and the Gadget by hiding or showing items, and can also enable translations based on user language preference

#U3 - Delegate Approvals

The Approval Delegation screen allows delegating user Approval authority to other qualified operators.

Any approver can delegate only its own Approval authority; the Sys Administrator can delegate the approval authority of any approver to another operator.

It includes the capability to setup delegations on single issues [NEW]

#U4 - Perform Approval by email

You may approve or reject an Approval Request by email, without logging in Jira. Furthermore, you can be notified for every Approval response, exclusively for a Rejection or Approbation, or following the final decision.

#U5 - Perform Bulk Approvals

You can take action on multiple requests at one time. This functionality is available as an option of the Jira Bulk Operation form. The available actions include Approbation, Rejection, Abstaining or Reset the previous decision. You can take the action not only as the Approval owner but also as a Delegated or Super Approver. You can add an Approval comment as well. 

#U6 - Perform Approvals JQLs

Users can enjoy more than thirty built-in JQL functions that allow performing different types of searches.

#U7 - Review Approval Status into Custom Fields that can be viewed in Agile boards, Search Navigator and Emails

The Herzum Approval Status and Herzum Approval Percentage custom fields allow to review the percentage of Approbations and Rejection, the Requests awaiting a response, and the received responses.

These custom fields allow customizing the Agile Boards and the emails so to have a quick review of the issue approval status.

#U8 - Review Approval Status of an Issue, view the list of requests awaiting approval, Approve or Reject in JSM Customer Portal 

As a User, you are able to review the Approval Status in the JSM Customer Portal.

As an Approver, you can

  • Approve or Reject on JSM Customer Portal (including Refined for Jira custom portal)

  • review the list of Issues awaiting your approval in JSM Customer Portal

#A1 - Enable Localization and setup texts customization  

You can translate almost everything related to the Herzum Approval items via a user-friendly administration screen.. The translations will appear to users basing on the language selected in their profile setting.

#A2 - Enjoy powerful Approvals Configurations options able to meet Static or Dynamic Approvals, Sequential approvals, Conditioned Approvals and minimum required Approbations and Rejections

You are able to meet also complex requirements requested by your Approval process via the rich set of options provided by the Approvals configuration screens.

It includes the capability to setup Approvals based on Asset custom fields [NEW]

#A3 - Enable controls for the identification of the approver in compliance with CFR - Code of Federal Regulations Title 21 - Part 11 

You can enable a mechanism for secure authentication by requiring username and password to be entered when the Approver replies to an Approval request.

Authentication can be enabled globally or per Approval [NEW]

#A4 - Enjoy powerful mechanisms for automation (automatic transition, notification and reminding, automatic approbation or rejection)

You have the capability to:

  • enable issue's automatic transition on the approved or reject destination status based on the count of the approval replies and/or the conditional rules evaluation

  • enable automatic email notification to remind for a pending approval request

#A6 - Run user anonymization 

You are able to anonymize users in Herzum Approval to hide any data that can identify them. This ensures compliance with General Data Protection Regulation (GDPR) and the “right to be forgotten".

#A7 - Review Audit logs of Administration activities 

The Auditing feature tracks key activities while administering Herzum Approval in order to:

  • solve the problem of the lack of information about past actions performed by multiple Jira Administrators.
  • help to diagnose problems with Herzum Approval 
  • ensure security and monitoring capability.

#A8 - Migrate and Merge Herzum Approval data from one instance to another [NEW]

You are able to migrate Herzum Approval configurations from a Jira on-Premises instance to another one.

#A9 - Configure Approval screens that popup when the approvers reply the approval requests COMING SOON

You have the capability to: 

  1. manage the Approval screens by choosing the fields (optional or mandatory) appearing on a screen that pops up when the Approver replies an Approval request 
  2. associate any Approval screen to an Approval Mapping or to any step of an Approval flow for a Single Issue

#A10 Manage bulk Approvals configurations

You are able to run bulk Approval configurations by copying, moving, editing or deleting multiple Approval Mappings all at once.

#A11 Customize Approval Emails

You can create custom Email Templates to use per Project, Approval Mapping, specific steps of an Approval flow for a Single Issue, and basing on Conditional Rules.

#A12 Enjoy a rich set of options allowing to customize the Approval items displayed on the issue
