All administrative functions of Herzum Approval require you to be a user with the Jira Administrators or Jira System Administrators global permission.

Overview

The Approval Email section on the Global Configuration screen allows you to customize the sender email address used by the app to notify the Approvals Request emails and the delimiter of the approval reply that the Approval Mail handler expects in order to process the approval reply email.

From Email Address

The From Email address option allows you to notify the Approvals Request emails via an email address differing from the the Project email address (when configured) or the email address set in Admin->Outgoing Email.

If any From Email address is filled, the app notify the Approval Request emails via the Project email address (when configured) or the email address set in Admin->Outgoing Email.

You can expect that this setting override the two from email settings mentioned above.  

(info) A customized email address might not be possible with some public email services. 

(info) In order to allow the From Email address to work properly, you need to add this email address as Alias of the Outgoing Email address.

Email Approval Delimiter

The Email Approval Delimiter option allows you to customize the delimiter of the approval reply.

The delimiter of the approval response that an user provides via email, allows the Approval Mail handler to process the response properly.

By default the Approval Mail Handler expects that the approval response is expressed inside the tags @...@.(E.g. @Approved my comment@).

This field expect max 5 chars.

Warning message Authentication

You are able to setup a custom text appearing on the email notifying that the it is mandatory to authenticate in order to approve or reject.

When no custom text is set, the email body have the default text:

The application cannot process your response because this operation requires your authentication.

This setting is overwritten by a Language translation for Warning message Authentication (key com.herzum.approval.email.warning.msg.authentication_required)

Warning message Approval comment

You are able to setup a custom text appearing on the email notifying that the Approval Comment is mandatory and it is missing.

When no custom text is set, the email body have the default text:

The application cannot process your response because the approval comment is missing.

This setting is overwritten by a Language translation for Warning message Authentication (key com.herzum.approval.email.warning.msg.missing_comment)

Customize E-mail buttons

You are able to change the label of each button of the Approval Request Email.

When no customization is applied, the email's buttons have the default labels Approve, Reject, Abstain, Reset.

Email Icons

You have the capability to setup your company logo to appear on the approval emails.

By default the approval emails display the Jira Logo.

You are able to upload your Company logo and select it on your email templates so that it will appear on the approval emails header.

In order to upload the file, just click on the Upload Image button and select  a GIF, PNG, JPG/JPEG, BMP, or WBMP file.
